START WITH THE ASSUMPTIONS

A useful trip budget tells you whose costs it includes, how many nights it covers and which expenses are still missing.

Example trip7 days
Hotel nights6 nights
Travelling together2 adults

If you have already booked your flights, use that price in your budget. Check whether it includes baggage. Then add the hotel bill for the whole stay and divide shared costs by the number of travellers.

Keep a separate line for each transfer. They are easy to miss when you are looking only at the flight and room price.

What this estimate includes

The example below uses one shared room for six nights. Flights, meals and activities are entered per person. Hotel rooms and transfers are shared costs.

Illustrative figures for this design preview. These amounts are not researched market prices. Use your own quotes in the calculator.

Put each cost in the right column

ExpensePrice basisExample total
Return flights₹18,000 × 2 people₹36,000
Hotel₹3,500 × 6 nights₹21,000
Food₹1,200 × 7 days × 2₹16,800
TransfersWhole group₹6,000
Activities₹5,000 × 2 people₹10,000
Total for twoBefore other expenses₹89,800

What changes when two people travel?

A shared room is one bill. Two return flights are two tickets. Your budget should keep that distinction all the way through, rather than multiplying every price by the group size.

Count rooms as well as people

If your group needs another room, add it to every hotel night. A per-person estimate based on sharing will understate the total for someone booking a room alone.

Keep the route visible

List the places you will stay before estimating transport. Each change of base adds another journey to price and another block of time to the itinerary.

Check the total before you book

  • Confirm whether the flight quote is one-way or return.
  • Count hotel nights rather than relying on the trip’s day count.
  • Include baggage and any optional booking extras you choose.
  • Add each journey between the airport and your accommodation.

Use the seven-day planning guide to check where your travel days fit.

Should I keep a separate spending-cash budget?

Yes. Your total trip budget includes bookings you may already have paid for. The amount you expect to spend during the trip is a separate calculation.

Can I use the calculator for a solo trip?

Set travellers to one, keep the number of rooms you need and replace each sample amount with your quote.
